Accounting Assistant


This position primarily has general bookkeeping responsibilities, including but not limited to processing cash deposits. May be directed by department Management to assist and to provide support in related departments.

Required Education and Experience

  • High school diploma or General Education Degree (GED)
  • 1 to 2 years of related accounting experience with similar responsibilities
  • Proficiency with MS Office products (Outlook, Word, Excel) & related software applications
  • Strong mathematics proficiency
  • Typing skills of 35 WPM
  • Excellent data entry skills

Preferred Education and Experience

  • Associate degree in Accounting or related field
  • 2-5 years of accounting experience that would enable performance of the full scope of the position
  • Experience with Great Plains and/or similar accounting software
  • Intermediate knowledge of MS Office products (Outlook, Word, Excel) & related software applications
  • Previous experience at a warranty administration company

Position Type/Expected Hours of Work

  • Full-time position
  • Standard days are Monday through Friday
  • Standard hours are 40 hours per week
  • Must be willing and have the ability to work additional hours during peak business needs and occasional weekend hours, as requested
  • Must be willing to adjust work hours depending on Manager’s scheduling requirements

Essential Functions 

  • Prepare cash deposits and make deposits daily
  • Data entry into Great Plains accounting software
  • Collect, maintain and process W-9 forms
  • Maintain hard copy and electronic filing systems
  • Assists is processing disbursements (ACH, wires, checks, etc.)
  • As directed by department Management, provide support in related departments e.g., Cancellations and Accounts Receivable
  • Organize and scan forms
  • Create various reports
  • Perform general bookkeeping tasks
  • Provide support for internal or external audits as assigned
  • Successfully complete duties in a timely manner and by assigned deadlines
  • Maintain customer account information & communicate to other departments, as needed
  • Return phone messages and emails within one business day
  • Build, strengthen and maintain positive business relationships by establishing rapport with internal and external personnel
  • Maintain the highest level of confidentiality by determining which information is confidential and should be limited and not conveyed to unqualified parties
  • Provide timely feedback to management concerning possible problems, service failures or recommendations to implement areas of improvement
  • Promote professionalism, teamwork, positive employee morale, and outstanding customer service
  • Perform special projects and other related duties as assigned
