Marketing Clerk & Front Desk Assistant

Summary: 
Primarily responsible for completing marketing clerical, administrative, and shipping duties.

Additional responsibilities are providing professional front desk duties to cover daily meal periods and other front desk time off coverage.  Duties will include accepting deliveries, assisting visitors, answering inquires, and may assist with opening/sorting/posting mail, and copying/scanning payments.

Required Education and Experience

  • High school diploma or General Education Degree (GED)
  • 1 or more years of experience in reception, administration/office, marketing or a combination of education and experience that would enable performance of the full scope of the position
  • Intermediate knowledge of MS Office products (Outlook, Word, Excel) & related software applications
  • Superior phone communication skills
  • Strong mathematics and word processing proficiency
  • Ability to manage workload and required to communicate when assistance is needed
  • Reading comprehension, critical thinking, strong English grammatical and spelling skills

 

Preferred Education and Experience

  • Expert knowledge of MS Office products (Outlook, Word, Excel) & related software applications
  • Experience with SCS or equivalent or other contact management software preferred
  • Expert computer proficiency in MS Word, MS Excel, MS Power Point, MS Outlook, and Internet

Essential Functions – General

  • Maintain the highest level of confidentiality by determining which information and documentation is confidential and should be limited and not conveyed to unqualified parties is critical for this position
  • Ensure all requests are responded to within 24 hours (1 business day) of first contact
  • Build, strengthen, and maintain positive business relationships by establishing rapport with internal and external personnel
  • Maintain ongoing two-way communication promoting professionalism, teamwork, positive employee morale, and outstanding customer service
  • Provide timely feedback to management concerning possible problems, service failures or recommendations to implement areas of improvement
  • Promote professionalism reflecting the highest level of moral and ethical behavior
  • Accept additional tasks, special projects, and other related duties and/or direction as assigned and work collaboratively with other AGWS Managers and staff
  • Must be willing and have the ability to work additional hours and partial limited holidays pursuant with industry demands during peak business needs, as requested
  • Interact with Management and guests presenting a polished and professional image in all settings

 

Essential Functions – Marketing

  • Online webinar/seminar registration including deck, registration spreadsheet and registering people manually
  • Creation of presentation kits
  • Preparation of marketing mailers
  • Assemble Agent training binders
  • Package and ship marketing materials for Clients/Conferences/Trade shows
  • Build Marketing Pitch kits (Folders with specified marketing materials and collateral)
  • Organize and keep accurate records of Inventory
  • Print and Bind internal/external documents
  • Update and maintain the marketing material archive
  • Send files and order materials to print vendors
  • Back up for shipping responsibilities in the absence of the Logistics Coordinator or when additional assistance is needed

 

Essential Functions – Front Desk              

  • Ensure timely processing of incoming and outgoing mail including delivery services
  • Exceptional customer service at front desk ensuring customers, vendors and employees have a professional and pleasant experience while being greeted with a smile
  • Maintain the front lobby and personal work area with a clean appearance and decorum, keeping all reading materials stocked and visually appealing
  • Charge and assist with visitor and Human Resources photos using company iPad
  • Remain at front desk during workday to cover daily meal periods and other front desk time off coverage, as required
